This Privacy Policy explains how your personal data is collected, used, stored, and protected on the dotpeenator.com website operated by SERMATEK MAKİNA SAN. VE DIŞ TİC. LTD. ŞTİ. ("Company", "we", "us"). This document has been prepared to fulfill our obligations under the Law No. 6698 on the Protection of Personal Data (KVKK), the European Union General Data Protection Regulation (GDPR), and the California Consumer Privacy Act (CCPA/CPRA).

2. Personal Data We Process

  • Identity and contact information: first name, last name, title/salutation, email, phone, company, country, address (source: quote/contact forms, customer account).
  • Request content: message, relevant product, subject, language (source: quote/contact forms).
  • Account and authorization: email (login), password (hashed), role, language preference, sub-user relation (source: customer portal).
  • Product ownership: serial number, purchase/warranty dates, service history, uploaded documents, and service photos (source: customer portal).
  • Technical data: IP address; processed only temporarily; not recorded/logged (see §5). Unless rejected, advertising and analytics cookie identifiers placed by Google and associated measurement data: viewed pages, traffic source, device and browser type used, country/region-level location, and measured actions taken on the website (form submissions, clicks on WhatsApp/phone/email links). This data does not identify you by name (see §5 and Cookie Policy).

We do not collect special categories of personal data (health, biometric, etc.).

3. Purposes and Legal Bases of Processing

  • Responding to quote/inquiry requests — KVKK Art. 5: conclusion/performance of a contract, legitimate interest, explicit consent; GDPR Art. 6(1)(b) and (f).
  • Managing the customer portal account — KVKK Art. 5: performance of a contract; GDPR Art. 6(1)(b).
  • Warranty/maintenance services and reminders — KVKK Art. 5: performance of a contract, legal obligation; GDPR Art. 6(1)(b) and (c).
  • Security and abuse prevention (form spam protection) — KVKK Art. 5: legitimate interest; GDPR Art. 6(1)(f).
  • Legal obligations (tax, commercial laws) — KVKK Art. 5: legal obligation; GDPR Art. 6(1)(c).
  • Measuring advertising performance (Google Ads) — measuring which form submissions and contact clicks are generated by our ads. KVKK Art. 5: explicit consent; GDPR Art. 6(1)(a); consent is obtained via the cookie banner where required.
  • Analyzing website usage (Google Analytics 4) — generating aggregate statistics such as visitor count, page views, and traffic sources to improve the website. KVKK Art. 5: explicit consent; GDPR Art. 6(1)(a).

4. Third Parties to Whom Personal Data Is Transferred

We do not sell your data. We share it on a limited basis with the following parties solely to deliver our services; unless otherwise stated, these parties act as data processors on our behalf:

  • Our email (SMTP) provider — transmission of transactional and notification emails.
  • Telegram (if enabled) — transmission of new request notifications to company representatives.
  • Cloudflare — IP address and verification token to verify bot protection (Turnstile) on contact forms; also hosting training videos (contains no personal data).
  • Google Ireland Limited — advertising cookies and conversion measurement (Google Ads), as well as generating aggregate statistics on website usage (Google Analytics 4); principles are explained on the Cookie Policy page. Google acts as an independent data controller, not a data processor, for these purposes.
  • Our hosting provider — storing data on servers.

Some of these providers may be located outside Turkey (EU/US); international data transfers are carried out with appropriate safeguards pursuant to KVKK Art. 9 and GDPR Chapter V (standard contractual clauses, etc.).

5. IP Address and Cookies

Your IP address is used only temporarily in memory for rate limiting (spam protection) and bot verification on contact forms; it is not written to your inquiry record. For cookies used on our website, please refer to the Cookie Policy page.

In addition to strictly necessary cookies, Google Ads advertising cookies and Google Analytics 4 analytics cookies are used on the website. In the EEA, UK, and Switzerland, these cookies are only placed after you accept the cookie notice; in other countries, they are placed upon your initial visit and can be refused via your browser settings.

Within the scope of advertising measurement, the submission of contact forms, quote request forms, and machine selector forms, as well as clicks on the WhatsApp button, phone numbers, or email addresses, are reported to Google Ads. These reports only contain information that the action occurred; your name, email, phone number, and message content submitted in the form are not transmitted to Google.

6. Retention Period

We retain your personal data only for as long as necessary for the respective purpose and for the minimum statutory retention periods prescribed by applicable legislation (commercial, tax, etc.). Upon the expiration of this period or upon your request, your data will be deleted, destroyed, or anonymized.

7. Your Rights

Under KVKK Art. 11, GDPR Arts. 15–22, and CCPA/CPRA, you have the right to access, rectify, erase, restrict processing / object, data portability, and withdraw consent. 8. Security

Your data is stored on our server in Turkey; passwords are stored exclusively hashed, and portal sessions are managed using secure, HttpOnly cookies.

We may update this policy from time to time; the current version will be published on this page, and the effective date will be updated accordingly.
